What is the Calendar for?
The Calendar (Stays > Calendar menu) gathers stays from all your welcome books: who arrives, who departs, who is here tonight. At the top the day banner shows arrivals, departures, rotations (one departure and one arrival same day) and occupied accommodations, with the week on one line. Alerts flag upcoming stays without email or phone, and gaps of 1 to 3 nights between stays.
What views does the Calendar offer?
Three views: Month (one or two months side by side), Planning (one line per accommodation over five weeks; click an empty cell to create a stay) and Agenda (list of days, handy on phone). A search finds a stay by guest name, email or booking code, and a filter limits display to a welcome book.
Where do the Calendar stays come from?
From three sources: those you enter manually, those from an iCal calendar connected (Airbnb, Booking, Abritel…), and those from your management software if connected (Stays > Connections). You can also import an Excel or CSV file. A correction you make to a stay is never overwritten by its source.
How do I add a stay manually?
In the Calendar, Add button or click an empty cell in Planning view: choose the welcome book, dates and times, the guest (a known client appears when typing their name) and the number of guests. The stay appears immediately in the Calendar and in the client file.
Why can’t I edit a past stay anymore?
A finished stay is read-only: it is part of the client history (number of stays, nights, first visit) and statistics. You also cannot create a stay in the past. For an upcoming stay coming from a platform or software, “Revert to original values” cancels your corrections.
What is the Clients page?
Stays > Calendar, Clients tab: all the guests you have had or are expecting. A banner counts them (returning guests, reachable, consented to offers, country of origin) and each number filters the list. Search, filters by welcome book, platform or tag, and sort by name, next stay, last stay or number of stays.
What does a client file contain?
Their contact details, stays (with nights and platform), first visit, what has been sent to them, your notes and tags. From the file: “New stay” to create one for them, copy their email, write to them on WhatsApp, or “Edit” their details.
I add a client who already exists, what happens?
No second file is created: a message tells you the client is already in your list, and their file opens. Recognition is by email, phone, or first and last name for a client without contact.
What is a returning client (fidèle)?
A client with at least two confirmed stays with you. Closures and cancelled stays do not count. A “Returning” badge indicates them in the list.
What are client tags for?
To classify your clients as you wish (VIP, regular, group, company…): up to 10 per client, and a filter by tag in the list. They are added in the file, or in bulk on several checked clients (“Tag”).
Does deleting a client delete their stays?
No. Stays remain in the Calendar, simply without a client file. The client goes to the recycle bin, from where you can restore them for 30 days: they then regain their stays.
I added or removed a tag by mistake on many clients
Click “Undo” in the message that follows: the tag is restored or removed on those same clients only. After that moment repeat the inverse action with “Tag”.
Can the import overwrite my stays or clients?
No. A line matching an existing stay (same booking code, or same welcome book and dates) complements it without erasing. In doubt (different name, nearby dates) the preview asks you to choose: complement, create or ignore. Monetary amounts from the file are not imported.
Why can’t I connect an iCal to this welcome book?
Because this welcome book is already fed by your management software (“Synchronized by …”): it already provides the reservations, and an extra iCal would create duplicates. A reservation already present (same booking code) is recognised and is not added again.
Which property management systems (PMS) can I connect?
Smoobu, Beds24, Hostaway, Uplisting, Hostfully, Guesty, Lodgify, 365Villas and Superhote, from Stays > Connections. Enter your access keys (a step-by-step guide explains where to find them in each system); they are validated immediately. Then each lodging in the software is linked to a welcome book and its reservations arrive in the Calendar, then every hour.
Why do my Superhote guests have no email or phone?
Superhote does not transmit guests’ contact details: reservations arrive with first name, last name and number of guests only. To get contacts import your reservations export (“Import a file”): it completes existing stays.
My software keys are rejected, what to do?
On the software card in Stays > Connections, “Reconnect” lets you enter new keys. Check in your software that they are still active and grant access to reservations and lodgings.
Can I fill my welcome book from my management software?
Yes: in Stays > Connections, “Fill the welcome book from this lodging”. The lodging file is read from your software (address, hours, wifi, access code, rules, amenities, contact, access, departure and parking texts…), then you review it before anything is applied. Photos are offered at the end, and everything can be undone if needed. The richness of the file depends on the software.
What do “new”, “identical” and “different” mean in the review?
“New”: the information is not in your welcome book, it will be added. “Identical”: it is already there, nothing is written, it is simply linked to the software to follow changes. “Different”: your welcome book says something else; it is unchecked by default and your current text is shown beside it. If you tick it, your item is updated without duplication.
Can my management software change my welcome book on its own?
No, never without your agreement. Each night the files of lodgings already filled from the software are re-read; if something changed you see “N changes to validate” in Stays > Connections, a badge on the menu and a notification (badge on your avatar). You accept or refuse each change. A refused value is not proposed again until it changes again in the software.
What are automatic sends?
Stays > Calendar, Sends tab: emails or SMS sent automatically to your guests at four moments you activate individually: on booking, a few days before arrival, on the day of arrival, and the day after departure (to invite a guest to leave a note in the guestbook). Each send contains the welcome book link, and you choose the time and channel.
Does the guest see StyQR in the sends?
Not in the email: it is sent in your name, guest replies come directly to you, and no brand appears. The SMS however displays the sender name StyQR on the guest’s phone; its text is yours.
In which language are sends sent?
In the guest’s language when your welcome book offers it. Our templates are already translated; a text you write yourself is translated with “Translate”, which uses your translation credits.
Why was a send (email or SMS) not sent?
Usual reasons: the guest has no email or phone, the stay is cancelled or a closed period, the welcome book is paused, or the step was activated after the scheduled moment (sends delayed by more than a day are not sent). A stay imported from a file, or arriving during the very first sync of a calendar you just connected, does not receive the “on booking” send. The stay file shows what has been sent and what will be sent.
Can a guest receive the same send twice?
No: each send is sent once per stay, per step and per channel. You can however resend manually from the stay file (“Send by email” or “by SMS”).
Can I send by WhatsApp?
Yes, but manually: from the stay file WhatsApp opens on your phone with the message ready and you send it yourself. Nothing is sent on WhatsApp without you.
