The best hotel management software

PMS, channel manager, booking engine, RMS: four tools that get mixed up, and the questions to ask before you sign. No cosy rankings.

A twenty-room hotel already means a planning chart, rates that move, three booking platforms to keep up to date and invoicing to produce every month. Doing it by hand costs more than software does: the question is not whether you need one, but which one, and above all which ones, because what hoteliers call « the software » actually covers four different tools.

Four families not to be confused

That is where most bad decisions come from: you buy one tool believing it replaces another.

  • The PMS (Property Management System) is the core: the room planning chart, check-ins and departures, invoicing, the daily log. It is the one you open in the morning.
  • The channel manager distributes your availability on Booking, Expedia or Airbnb, and feeds bookings back into the PMS. Without it, you re-enter everything by hand, and sooner or later you overbook.
  • The booking engine is what lets people book from your own website, with no platform commission. It is the only channel where you keep the full margin.
  • The RMS (Revenue Management System) adjusts prices according to demand, season and competitors. Useful above a certain volume, superfluous below it.

Many vendors now offer all four in a single interface. That is convenient, but it does not excuse you from knowing what you are paying for.

The solutions that shape the market

Here are the names that come up most often among French hoteliers, and what sets them apart. No prices are given here : rate cards are calculated on the number of rooms and are negotiable, so any figure shown would be wrong half the time.

  • Mews : a cloud-native PMS, adopted by groups and aparthotels, with a very well-stocked integrations marketplace and an open API. Voted best PMS at the HotelTechAwards 2024. The choice for properties that want to connect a lot of tools together.
  • Cloudbeds : an all-in-one platform accessible from any device, bringing together PMS, channel manager and booking engine. Very widespread among independents and hybrid accommodation.
  • Misterbooking : a French vendor, with channel manager and booking engine built in natively. A contact who speaks your language and knows local regulations, which matters more than people think on the day of an inspection.
  • Thaïs : a French solution launched in 2006, cloud-based and all-in-one. A safe bet for an independent hotel that wants a partner close to the ground rather than support on the other side of the world.

This list is not a ranking. The best PMS for a twelve-room boutique hotel is not the one for a group of four properties : your size, your channels and your team are what decide.

The six questions to ask before you sign

They can all be asked during a single demo, and they tell vendors apart better than any feature list.

  • What happens if I leave ? Do you get your customer data and your history back, in what format, and at what cost ?
  • Is the channel manager included or billed separately ? This is the line that often doubles the price you were quoted.
  • How many channels are connected, and which ones ? Check that the ones you actually use are there, not the total count.
  • Who answers support, at what hours, in which language ? A planning problem on a Saturday in July will not wait until Monday.
  • How long is the commitment ? Hotel contracts often run for three years, which is a long time for a tool you open every day.
  • How long does migrating existing data take ? A PMS migration is counted in weeks, and it rarely falls at a convenient moment.

What a PMS does not do

A PMS runs your operation : rows, dates, amounts. It does not talk to your customer. Nothing in a room planning chart tells the guest where to park, how the air conditioning works, what time the spa closes, or where to have dinner on a Sunday evening.

That is another job, and it is ours : StyQR is not a PMS and has no ambition to become one. Where to start, depending on your size

  • Fewer than ten rooms : an all-in-one PMS with a built-in channel manager is enough. Do not add an RMS, you do not have the volume to make it pay.
  • Ten to forty rooms : this is where a booking engine starts to pay off. Every direct booking saves you a double-digit commission.
  • Above that, or several properties : look at the integrations and the API first. At that size, the expensive part is not the subscription, it is the time spent copying data from one tool to another.

And in all three cases : run a demo with your own data, on your own use cases. Software is judged on the action you will perform a hundred times a week, not on the features page.
